It is an important aspect of documenting and managing any large or small collections, creating an archive of information easily accessible through digital records. Accurate descriptions of the object can be written and organised to represent grouped material types. A collection thoroughly documented and photographed can be an aid of valid documentation for insurers in any catastrophic event, such as a fire, flood or theft.

Services
Collection cataloguing for large or small collections can be recorded and registered in spreadsheet form or cataloguing software. The catalogue register can include information on:
- Registration number – assigned to an object for identification
- Object name
- Title – for works of art or documents
- Description
- Keywords – a search finder
- Inscriptions and markings – signatures, engravings, text
- Measurements and weight – in metric and kilograms. Height, length, width, diameter.
- Maker’s details
- Place of manufacture
- Date – exact or estimated
- Acquisition details – source (donor, purchased or acquired), provenance and object location (on loan, displayed)
- Condition
- Conservation reports – assessment of condition, treatment record or advice for recommended treatments
- Storage or current object location
- Name of cataloguer and date
- Thumbnail image
Accession numbers supply assigned objects, a discreetly applied object labelling system for objects from museums or private collections.
Historical research of an object may include identification of the maker, material type, function, historical context and manufacturing.
